Create and Update Staff Records

Aeries SIS guide

Configure output mappings to create staff records or update existing staff in Aeries.

  • Configure and test the Aeries SIS connection.
  • Create and verify filters that select only the staff records to create or the existing staff records to update.
  • Confirm the Aeries staff ID is available for every selected record.

For staff creation, confirm the Aeries vendor record has the appropriate Insert permission. A create mapping requires first name, last name, and ID.

  1. In NIM Studio, go to Output > Mappings and select Add.

  2. Set System to Aeries, Target to staff, and Function to staffCreate.

  3. Name and save the mapping.

  4. Select the filter for the staff records to create.

  5. Map at least these required values:

    Required valueMap from
    First nameThe staff member's first name in the NIM source data.
    Last nameThe staff member's last name in the NIM source data.
    IDThe identifier Aeries requires for the staff record.

Before enabling automated output, test with a limited set of records. Confirm the filter selects the intended staff, each required value is populated, and the ID matches the expected Aeries record. Review output results for errors before expanding the filter.

Update staff recordsDirect link to Update staff records

Use a staff update mapping when the staff record already exists in Aeries and you need to change its data.

  1. In NIM Studio, go to Output > Mappings and select Add.
  2. Set System to Aeries, Target to staff, and Function to staffUpdate.
  3. Name and save the mapping.
  4. Select the filter for the existing staff records to update.
  5. Map the required ID value to the Aeries staff identifier, then map the staff fields your process needs to update. The ID identifies the existing record; for example, the staff email mapping uses ID with EmailAddress.

Test with a limited set of existing staff records. Confirm each ID matches the intended Aeries record and review the output results before expanding the filter.
