Email addresses in Skyward Qmlativ are stored in the Demographics_NameEmail table. Confirm that each person has a corresponding Demographics_Name record before creating an email address.
Review the existing email addresses, ranks, and types for the people your mapping will manage. Create and verify filters that select only the records you intend to add, update, or remove.
Understand email ranksDirect link to Understand email ranks
Skyward commonly uses rank 1 as the correspondence email address. When a person already has an email at a rank, changing another record to that same rank can return an accepted 202 response while Skyward completes the change in the background. Collect Qmlativ again before relying on the revised ranks in NIM.
Skyward does not automatically reject duplicate email values. A person can have the same email address assigned to more than one rank. Check existing email records before creating a new one.
- In NIM Studio, go to Output > Mappings and select Add.
- Set System to Qmlativ, Target to Demographics_NameEmail, and Function to Demographics_NameEmailCreate.
- Name and save the mapping.
- Select the filter for the people whose email addresses should be added.
- Map the required values from the person's
Demographics_Namerecord, then assign the email address, rank, and type.
Choose rank and type from the email composition and your district's configuration. For example, an address containing @schooldistrict.com might be a primary or work address and commonly uses rank 1. Do not create the email when that value already exists for the person.
- In NIM Studio, go to Output > Mappings and select Add.
- Set System to Qmlativ, Target to Demographics_NameEmail, and Function to Demographics_NameEmailUpdate.
- Name and save the mapping.
- Select the filter for the email records to update and map the intended changes.
If the update changes a rank, collect the system again and confirm the background update completed before using the new rank in later mappings.
- In NIM Studio, go to Output > Mappings and select Add.
- Set System to Qmlativ, Target to Demographics_NameEmail, and Function to Demographics_NameEmailDelete.
- Name and save the mapping.
- Select the filter for the email records to remove.
Test each mapping with a limited set of people. Confirm the selected records, email values, ranks, and types before expanding the filter. After rank changes, collect Qmlativ again and verify the resulting email records.
